Oral Paper Presentation Guidelines

  1. All oral presentations must be delivered in English and should strictly reflect the content of the abstract submitted to and approved by the Scientific Committee of the conference.
  2. Presenters are required to adhere to the official presentation template provided via email. Deviation from the prescribed format is not permitted.
  3. The presentation must include an introductory slide containing the title of the presentation, presenter’s name, institutional affiliation, and contact details, as specified in the template.
  4. Presenters are encouraged to make effective use of appropriate visuals, images, diagrams, and charts to enhance audience engagement and clarity of communication.
  5. The total time allotted for each oral presentation is 10 minutes, comprising:
    • a.8 minutes for the presentation
    • b.2 minutes for questions and discussion
  6. Presenters must ensure that their presentation is completed within the stipulated time.
  7. Slide content should be clear, concise, and free of spelling or grammatical errors. Readable fonts must be used, with adequate font size and sufficient colour contrast between text and background to ensure visibility.
  8. All diagrams, graphs, and charts should be neatly prepared, clearly labeled, and legible, and of a size suitable for viewing on a projection screen.
  9. Presenters are advised to avoid overcrowding slides with excessive text. Key points should be presented using concise bullet points rather than lengthy paragraphs.
  10. The use of third-party intellectual property (including copyrighted images, graphics, audio, or video content) is strictly prohibited unless the presenter has obtained appropriate permission or is legally entitled to use such material. Where applicable, proper acknowledgements or credits must be included.
  11. Presenters should speak clearly and at a moderate pace (approximately 140–150 words per minute). Reading directly from slides is discouraged; presenters are expected to elaborate on the slide content to effectively communicate their work.

Poster Presentation Guidelines

  1. Poster presentations shall be made in printed format. Posters should preferably be printed on a good-quality flex sheet. Provision for electronic (e-poster) presentation will be considered only upon special request and with prior approval.
  2. The poster must be printed in portrait orientation, with dimensions of 36 inches (width) × 48 inches (height). Posters should not exceed these dimensions, as larger formats cannot be accommodated on the display boards provided.
  3. The poster content should strictly follow the design template shared with presenters, including specifications related to font type, font size, and colour scheme. The scientific content must be aligned with the abstract submitted to and approved by the Scientific Committee.
  4. Figures, images, tables, and graphics should be clearly labeled, of good resolution, and positioned so that they are not obscured by text. The use of copyrighted material or content directly reproduced from the internet should be avoided unless appropriate permission has been obtained and due acknowledgement is provided.
  5. Presenters are encouraged to limit the amount of text and avoid overcrowding the poster. Information should be presented in a clear, concise, and visually accessible manner, highlighting key objectives, methods, results, and conclusions. The relative space allocated to individual sections may be adjusted as required.
  6. The left panel of the poster, designated for the poster number, should be left blank. A unique poster number will be assigned by the organising team prior to display at the venue.
  7. All logistical arrangements related to poster display, including display boards, pins, and adhesive materials, will be provided at the venue.
  8. Poster presenters must be registered delegates of the conference. The first author listed on the poster will be considered the presenting author. It is assumed that consent has been obtained from all co-authors and that there are no conflicts of interest related to the work presented.
  9. If any part or the entirety of the poster content has been previously published, this should be clearly mentioned below the acknowledgements section, along with appropriate citation of the original publication.
